Disclosure: we make RoSync for CA, one of the tools in this guide. We have described other tools only from their own public pages (checked 16 October 2026) and linked to them so you can check for yourself.

The short answer

Start from the problem that costs your firm the most hours. Tally data entry → choose a tool built around Tally automation. Staff tasks and notices → choose a workflow-and-notice tool. Chasing clients for documents before due dates → choose a tool that automates reminders and document collection on WhatsApp and email. Then check due dates, data safety and the three-year cost.

10 things to check before you buy

  1. Indian due dates that update themselves. GST (monthly, QRMP, composition), TDS/TCS, ITR by category, tax audit, advance tax, ROC, PF/ESI. Check that it already uses the Income-tax Act, 2025 form numbers (Forms 138, 140, 144, 143) and that official extensions - like the AY 2026-27 tax audit extension to 21 October 2026 - are applied for you.
  2. Document collection clients will actually use. A checklist per return and a link the client can open on their phone without creating an account. Ideally clients can also just send the file on WhatsApp.
  3. Official WhatsApp, with consent. Messages should go through Meta's WhatsApp Business Platform with approved templates, only to clients who have agreed. Email should cover clients who haven't.
  4. Reminders that run without your staff. Due-date reminders a few days ahead, weekly document reminders, and a clear point where the software stops messaging and asks your team to call.
  5. Tally and accounting integration - if you do bookkeeping. If much of your work is entering bank statements and invoices into Tally, this matters more than anything else on the list.
  6. Notice management. If your firm handles many GST and income-tax notices, check how notices are tracked, assigned and followed up.
  7. Billing and fee recovery. GST invoices with the right CGST/SGST/IGST split, partner approval for large bills, and automatic reminders for unpaid fees.
  8. Data safety. Where client data is stored (in India?), whether it is shared with other firms' data, who can log in, and what happens to your data if you stop using the software.
  9. Pricing model. Per user per month, per firm per year, or an upfront licence with yearly maintenance. Work out the total for your team over three years, including hosting.
  10. Setup and support. Who imports your clients, how long setup takes, and whether you get a trial or a test mode before clients see anything.

Which kind of tool fits which firm?

You do a lot of bookkeeping in Tally

Your biggest saving is in data entry: bank statements, sales and purchase invoices. A Tally-automation tool such as Vyapar TaxOne is built for that.

You have a large team and many notices

You need task assignment, timesheets and notice tracking across staff. Workflow-focused tools such as Turia or ATOM describe these features.

Your team spends its days chasing clients

If the real delay is clients sending documents late, the most useful tool is one that asks for them automatically: a checklist per return, a no-login upload link, WhatsApp and email reminders before each due date, and a call list when reminders don't work. That is what we built RoSync for CA to do.

Questions to ask in every demo

  • Show me the due dates for one of my QRMP clients and one tax-audit client.
  • How does my client send a document - do they need an app or a login?
  • What happens when a client ignores three reminders?
  • When CBDT or CBIC extends a due date, who updates it, and how fast?
  • Are WhatsApp messages sent through the official WhatsApp Business Platform, and only to clients who agreed?
  • Where is our data stored, and can we export everything if we leave?
  • What is the total cost for our team over three years, including support?

Frequently asked questions

What is CA practice management software?

Software that runs the office side of a Chartered Accountant firm: a compliance calendar for every client, task and staff tracking, collecting documents from clients, reminders, billing and fee follow-up. It does not replace the GST, income-tax or MCA portals - returns are still filed there.

Which practice management software is best for a small CA firm in India?

It depends on where your firm loses the most time. If it is data entry into Tally, a tool built around Tally automation fits best. If it is staff tasks and notices, a workflow-and-notice tool fits. If it is chasing clients for documents before due dates, choose a tool that automates reminders and document collection on WhatsApp and email. Shortlist two or three and test them with your own clients for a week.

Should a CA firm use WhatsApp for client reminders?

Yes, if it is done through the official WhatsApp Business Platform with approved message templates, and only for clients who have agreed to receive messages. Personal WhatsApp or broadcast tools risk your number being blocked and give no record of what was sent.

Monthly subscription or upfront licence - which costs less?

It depends on team size and what is included. Per-user subscriptions cost less to start but grow with every staff member; an upfront licence costs more at the start but usually has a yearly maintenance fee instead of per-user fees. Add up everything over three years - licence or subscription, maintenance, hosting and support - before you compare.

What should I ask in a practice software demo?

Ask the vendor to show your own due dates (including QRMP and audit cases), how a client sends documents without a login, what happens when a client ignores reminders, how GST and income-tax due-date extensions are updated, where your data is stored, and the total cost for your team over three years.
